Position Summary and Responsibilities

Pennwood Cyber Charter School seeks an efficient, technically proficient, agile Administrative Assistant. Working from both the York office and their home office in Pennsylvania, the Administrative Assistant is responsible for short- and long-term administrative tasks of the school such as answering and returning phone calls and email, receiving visitors, assisting the leadership team and school staff with administrative school year cycle activities such as documentation, filing, enrollment, Board meeting and state testing preparation and other duties as assigned.

Key Responsibilities

  • Entering data into the online student information system and learning management system both at the school and with the Pennsylvania Department of Education;

  • Managing student files and records;

  • Generating reports;

  • Answering the phones;

  • Scheduling appointments;

  • Speaking with Parents and Students;

  • Assisting with various personnel duties;

  • Ordering and auditing office supplies;

  • Interacting with vendors for invoice, pay and delivery;

  • Assisting with State Testing preparation and duties;

  • Assisting with Board Meeting preparation;

  • Requesting, filing, uploading and scanning of special population records with guidance and oversight from the Special Education team;

  • Requesting, uploading and entering transcript and other academic records for new and current students;

  • Assisting the Leadership Team, Counseling and Special Populations Departments with a wide variety of short- and long-term activities and duties; and

  • Additional duties as assigned.

    Requirements

  • Pennsylvania residency

  • Post-secondary degree preferred

  • 2+ years of customer service experience

  • Technologically proficient with Microsoft Office tools (emphasis on Excel/Smartsheets), Google Suite, and web-based applications is essential

  • Ability to multitask in a fast-paced environment

  • Detail oriented and ability to effectively handle multiple and competing priorities

  • Excellent interpersonal skills and attention to detail

  • Ability to work effectively both with and without supervision

  • Self-starter and independent worker

  • Excellent communication skills, both oral and written

  • High degree of flexibility

  • Must be able to report to the school office regularly

  • Ability to travel within state as needed for school business
